Deedfox (“Deedfox,” “we,” “us,” or “our”) provides a software-as-a-service platform that helps real-estate operators identify, score, and contact potential motivated sellers. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to our website and the Deedfox application (collectively, the “Service”).

By creating an account or using the Service, you agree to the practices described in this policy. If you do not agree, please do not use the Service.

1. Information we collect

We collect the following categories of information:

• Account information. Your name, email address, password credentials, and company details you provide when you register or update your account.
• Payment information. Billing details and subscription status. Card numbers are collected and processed directly by our payment processor, Stripe; we do not store full card numbers on our systems.
• Lead and property data. Real-estate lead data, property records, and contact information that you import into, pull through, or generate within the Service.
• Usage and device data. Log data, IP address, browser type, pages viewed, and similar diagnostic information collected automatically when you use the Service.

2. How we use information

We use the information we collect to:

• Provide, operate, maintain, and improve the Service;
• Authenticate users and secure accounts;
• Process payments and manage subscriptions;
• Score leads and generate outreach content you request;
• Respond to support requests and send transactional communications;
• Monitor for errors, abuse, and security incidents; and
• Comply with legal obligations and enforce our Terms of Service.

We do not sell your personal information, and we do not use the lead data you import to market to third parties.

3. Third-party services

We rely on a small set of trusted service providers (sub-processors) to operate the Service. Each receives only the information needed to perform its function:

• Supabase — authentication and database hosting;
• Stripe — payment processing and subscription billing;
• Vercel — application hosting and content delivery;
• Sentry — error and performance monitoring;
• Email provider — delivery of transactional email such as password resets and receipts.

We may also disclose information if required by law, to protect our rights, or in connection with a merger, acquisition, or sale of assets.

4. Data retention

We retain account and lead data for as long as your account is active and as needed to provide the Service. Following account closure, we delete or anonymize your data within a reasonable period, except where retention is required for legal, tax, accounting, or legitimate business purposes.

5. Your rights and choices

Depending on your jurisdiction, you may have the right to access, correct, export, or delete the personal information we hold about you, and to object to or restrict certain processing. You can update much of your account information directly in the Service, or contact us at hi@deedfox.io to exercise these rights. We will respond within the time required by applicable law.

You are responsible for handling any personal information contained in the lead data you import in compliance with applicable laws, including do-not-call and marketing regulations.

6. Cookies and tracking

We use cookies and similar technologies that are strictly necessary to operate the Service — for example, to keep you signed in and to maintain session security. We may also use limited analytics to understand aggregate usage. We do not use third-party advertising cookies. Most browsers let you control cookies through their settings; disabling necessary cookies may prevent the Service from working properly.

7. Data security

We use industry-standard administrative, technical, and physical safeguards to protect your information, including encryption in transit and access controls. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

8. Children's privacy

The Service is intended for business use by individuals who are at least 18 years old. We do not knowingly collect personal information from children.

9. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, notify you through the Service or by email. Your continued use of the Service after an update constitutes acceptance of the revised policy.
